Accessing Outlook
With Microsoft 365, there are multiple options to access your e-mail, calendar and contacts:
- Outlook on the Web – You can access your e-mail from any browser
- Outlook Desktop Client – Use Outlook Desktop Client from any Windows or macOS workstation
- Mobile Device – Use Outlook Mobile to access your e-mail from any iOS or Android device
Outlook on the Web
To access your e-mail through a web browser, Sign in to the Outlook on the web via outlook.office365.com using your Passport York credentials (username@yorku.ca)
Mobile – Outlook Mobile
- Install Microsoft Outlook from the App Store or Play Store
- Launch Microsoft Outlook from the home screen
- Enter your @yorku.ca e-mail address (username@yorku.ca) and Passport York password
Mobile – Apple Mail
- Tap Settings -> Accounts & Passwords
- Tap Add Account
- Tap Exchange
- Enter your @yorku.ca e-mail address (username@yorku.ca)
- Tap Next, then Sign In
- Enter your Passport York password
- Tap Save
Outlook Desktop Client
- Launch Outlook 2016 from the Start Menu or Dock
- Enter your @yorku.ca e-mail address (username@yorku.ca) and click Sign In
- Enter your Passport York password and click Finish
Accessing Shared Mailboxes
Outlook on the Web
- Sign in to the Outlook on the web via office365.com using your Passport York credentials (username@yorku.ca)
- Click your account picture in the top right corner
- Click Open another mailbox…
- Type in the e-mail address of the mailbox you would like to access then click Open
Mobile Device
Using the Outlook App
- Install the Outlook App following the Mobile – Outlook Mobile instructions above
- Sign in using your Passport York credentials (username@yorku.ca)
- From your account inbox, tap the circle beside Inbox
- Tap Add Account (Icon – Envelope with a + sign)
- Enter the e-mail address of the shared mailbox, tap Add Shared Mailbox
Using a Browser
- Sign in to the Outlook on the web via office365.com using your Passport York credentials (username@yorku.ca)
- Request the desktop site from your mobile browser
- Click your account picture in the top right corner
- Click Open another mailbox…
- Type in the e-mail address of the mailbox you would like to access then click Open
- Click the Share button then select Add to Home Screen
- Type a name for the mailbox and tap Add
- Tap the icon on your home screen to access the mailbox
Outlook Desktop Client (Windows)
- Launch Outlook 2016 from the Start Menu
- Right-click on your e-mail address in the left folder pane
- Click Data File Properties…
- Click the Advanced button
- Select the Advanced tab
- Click Add and type the e-mail address of the mailbox you would like to access, then click Open
- Click Apply then OK twice to close the dialog boxes
- Close and re-open Outlook 2016
Outlook Desktop Client (macOS)
- Launch Outlook 2016 from the Dock
- Right-click on your e-mail address in the left folder pane
- Click Account Settings…
- Click the Advanced button
- Select the Delegates tab
- Under Open these additional mailboxes: click +
- Type the e-mail address of the mailbox you would like to access, then click Add
- Click OK then close the Accounts window
- Click Continue on the Verify Certificate window
- Check Always use my response for this server
- Click Allow
- Close and re-open Outlook 2016
Sending E-mails from Shared Mailboxes in Outlook Desktop
- Click New E-mail on the ribbon
- Click Options -> From on the ribbon
- Select the mailbox to send from by clicking the From ˅ button
