Preparing For Your Oral Examination
No less than two months before your defense, your supervisory committee must read the thesis and agree that the version read is ready to proceed to defense.
Complete the Recommendation for Oral Exam paperwork
Examining committee: a) Chair (must be arm’s length from the thesis), b) two graduate faculty members from the program, one must be from the supervisory committee. c) one graduate faculty member at arm’s length and normally outside of the program.
NOTE: Your examination date should be no less than 25 business days from the time you submit this online form. The ESS graduate program requires 2-3 business days to input this information into the FGS Recommendation for Oral Examination Portal. There will be 5 business days allotted for your supervisory committee to approve that the thesis is ready to defend. FGS requires 15 business days to process the paperwork. If you can complete the online form earlier, this will alleviate any stress on all parties.
Five (5) business days before the oral exam, GPD must poll examining committee to ensure the thesis is examinable.
Oral Examination Day!
After the exam, the results are reported to the Faculty of Graduate Studies. The Chair of the examining committee completes the Oral Exam Report Form and submits this form via email to the graduate program (essgpa@yorku.ca)
Complete revisions, if any, as soon as possible. If revisions spill over to the next term, additional tuition may apply. Once your revisions are complete, your supervisor and the chair of the oral exam must complete the Revisions Approved Memorandum Form. This form is normally submitted by the chair or the supervisor to the graduate program (essgpa@yorku.ca)
Before FGS can set up the ETD (Electronic Thesis and Dissertation) record for you, they must have 1) the oral exam report 2) revisions approved memo (if applicable) 3) Library and Archives Non-exclusive license form and 4) copies of copyright permissions (if applicable) Email the Library and Archives Non-exclusive license form to the FGS Graduate Milestone and Progression Coordinator. You should have already received an email from them about your defense.
After you upload your thesis, you can check your status on the ETD to confirm if your submission has been accepted.
Delay in Publication: If a delay in publication is necessary, complete the online form with documentation.
